E-MailPrint (send file)
If an E-MailPrint print input has been created in the system, users have the option of sending files to the IQ4docs system by e-mail and their file attachments are then used as print jobs.

The e-mail address to which the e-mail must be sent is specified during print input.

The e-mail address from which you send the e-mail must be assigned to your user so that the print job can be assigned to your user. This means the sending e-mail address is not arbitrary.

The system can be set to print the content of the e-mail (e-mail body) as well (as a separate print job). This can be set so that
-
the e-mail body is always printed or
-
the e-mail body is only printed if the subject line contains a certain keyword (which can be assigned arbitrarily; the keyword is case-sensitive), e.g.: If the keyword Printbody was specified, the subject could say: Annual Report Printbody or PrintbodyAnnual Report.
The settings are made in the print input (e-mail), see Print Inputs (RAW, LPR, IPP, e-mail, folder).
When printing the e-mail body, there may be deviations in the display.

An e-mail print job can be delegated to any user via the subject line. The recipient user can be determined in two ways:
-
Based on the login name: Use the #DelegateLogin= # command to determine the recipient based on the login name.
Example: Subject: Annual Report#DelegateLogin=J.Doe# -
The #DelegateEmail= # command is used to determine the user based on the e-mail.
Example: Subject: #DelegateEmail=John.Doe@company.com# Annual Report
The command can be placed anywhere in the subject line. The beginning and end of the command line is defined by the hash symbols.

For e-mail and WebPrint, these files are sent directly to the device. This means the devices must support direct printing of these file types. Currently the following file types can be used with IQ4docs:
- PDF (Portable Document Format)
- XPS (XML Paper Specification)
Note that there may be restrictions depending on the device manufacturer, file properties, and file type (e.g. for PDF files, the paper format might not be recognized by the device).
For more information, please contact your partner responsible for questions about devices.

The following file formats are supported for Office printing. These are not sent directly to the device, but are first converted into a PDF file by IQ4docs, which is then used as a print job.
- JPG (image format of the Joint Photographic Experts Group)
- TIFF (Tagged Image File Format)
- DOC, DOCX (Microsoft Office Word)
- XLS, XLSX (Microsoft Office Excel)
- PPTX (Microsoft Office PowerPoint)
When converting Office formats to PDF, there may be slight variances in the display.
