Licensing

In a IQ4docs system, it is for the most part devices that are licensed. The number of printers, users, or server services in a distributed installation is not subject to any licensing option and these can be used in unlimited numbers. IQ4docs can also be used in a Windows cluster without additional license costs.

In a client system, the license options are distributed among the clients in the client management, see Licensing a client installation.

The following device license options are available in a IQ4docs system. Activate the following license options on the device, see Device List.

Option Description
Embedded Client license This license allows the operation of an Embedded Client on a supported system, see System Requirements. Printers without an Embedded Client can be operated in any quantities. To be able to operate a IQ4docs system, you need at least one Embedded Client license.
OCR license The scans from devices without an OCR license are not processed by the Scan Workflow Service.
1D Barcode license Barcode scanning supports 1D barcodes (barcodes), see also Zone OCR, Barcode, QRCode module.
2D Barcode license Modern 2D barcodes (QR code, matrix codes...) are supported for barcode scanning, see also Zone OCR, Barcode, QRCode module.

Other license options (not device related):

Option Description
OCR from e-mail/directory (document processing) A license option is required to use document processing (see Document processing). In addition, at least as many OCR licenses must be available in the system for use as there are Embedded Client licenses (workflow licenses).
Using user accounts The user account option prevents the posting of costs to individual user accounts. All costs are posted to the account of the user Standard User.
Update permission The update permission allows the use of the current software version.

The demo license included in delivery allows the system to be tested for 30 days with full functionality (a free activation of the demo license is required after 14 days at the latest). To license the IQ4docs system, proceed as follows:

To open the web administration, enter http://<hostname>/webadmin in the web browser (where hostname corresponds to the server on which IQ4docs WebAdmin was installed). In a client environment, enter the URL that you received from the client administrator (for example, http://server/webadmin/#/cf992178-4bd6-431c-b815-b9d734d0ded3). If you are not already logged in, log in with a user that has administrator rights (login and password) or as the IQ4docs system administrator (administrator with password admin by default).

In the web administration, click System > License in the menu.

In the license area you will see some information about the license used. Warnings are also displayed if the license is not activated, for example.

Field Description
Customer Contains the name of the customer (or Evaluation license 30 days if the demo license has not been activated).
Product IQ4docs with the version number of the product.
Serial number Serial number of the license (be sure to specify it in case of license questions); empty for a demo license.
Activated No if the license has not yet been activated, Yes if the license has already been successfully activated.
License Type Evaluation for a demo license, NFR
Remaining Days Shows the remaining days until the license expires for a time-limited license (e.g. demo license). Customer or NFR licenses usually do not expire and have no number of remaining days.
Update authorization Shows whether IQ4docs can be updated (an installation with a demo license cannot be updated).

Workflow Licenses Displays the number of device licenses in use and the total included in the license for Embedded Client devices.
OCR Licenses Displays the number of OCR (text recognition) device licenses in use and the total included in the license.
1D Barcode Licenses Displays the number of 1D barcode recognition device licenses in use and the total included in the license.
2D Barcode Licenses Displays the number of 2D barcode recognition device licenses in use and the total included in the license.
Document Check Displays the number of user licenses in use and the total included in the license for the document check feature, see Document review.
Use user accounts If this license is set to Yes, it is possible to evaluate print jobs for users, i.e. the user is recorded in the transaction. If this option is set to No, the user information is replaced by the user Standard User (an evaluation according to cost centers or departments is still possible), see also Storage of User-Related Data.
OCR from e-mail / directory This license option is required for the use of document processing (see Document processing). A prerequisite for issuing this license is that all Embedded Client devices be equipped with an OCR license.

The license data can be copied as text to the clipboard using the copy function, e.g. to be able to send it to the contact person in case of license questions.

After the first installation, the demo license is already present in the system, it only needs to be activated (the activation of the demo license can only be done online - Internet connection required).

The license file can be conveniently downloaded online via a registration server and automatically imported into IQ4docs (this process is carried out by the DeviceService). You only need the IQ4docs serial number for this. Click the Download License button in the License area and enter the serial number. The number has the format specified here with hash signs (####-#####-######-#######).

After successful download, the license data is displayed in the license area. Please check the data for correctness.

If the IQ4docsDeviceService does not have a connection to the Internet - meaning you cannot download the license file - the license file can also be imported manually. You can obtain the license file from your IQ4docs contact person.

To import the license file, click the Load License File button in the license dialog. Select the (*.lic) file from your file system. After successful import, the license data are displayed in the license area. Please check the data for correctness.

You can easily activate the license online. If the DeviceService does not have an Internet connection available, you can also perform the activation by e-mail.

Click Activate License in the license dialog. Fill in at least all required fields marked with *.

After successful activation, the license dialog appears again and the activation warning will have disappeared. At Activated, the display is now Yes.

To deactivate a license again, click the Deactivate License button (only visible when the license is activated) and confirm the confirmation prompt (a demo license cannot be deactivated again).

For online activation, access to the web address http://was.supportarea.eu/rubicon/lpws.asmx must be possible.

In the license dialog box, click Activate License and then click E-Mail Activation. A window opens with the license information (similar to the abbreviated form below).

Select the entire text and copy it into an e-mail (alternatively, click on the link license@msegmbh.de). Send the e-mail to license@msegmbh.de.

When sending the e-mail, be sure to use the text format (not HTML, rich text or similar).

If the activation key has been successfully generated, you will receive an e-mail at the sending e-mail address containing an activation key. This is suitable for this installation. Use the license key as described below under Extend License.

After successful activation, the license dialog appears again and the activation warning will have disappeared. At Activated, the display is now Yes.

To deactivate a license offline again, you need a license key once again. Note that each license key can only be used once. You can obtain this from your IQ4docs contact person.

Licensing without an Internet connection should only be done if online activation is impossible.

You can add options to the license if necessary (e.g. more devices are used or similar). An important expansion is also the extension of the update permission. No Internet connection is required to expand the license with a license key.

Expansion of the system is done with a license key (options key). Click License Key in the license dialog and enter the license key. The license key has the format specified here with hash signs (####-####-####-####-####-####-#######). The License Data field now displays the license options included in the license key.

A license key must match the existing license and can only be used once.

The licensing is done by the DeviceService. If the license has expired, the service stops working internally (even if the application pool of the DeviceService in the IIS Manager still runs). The license dialog is then not displayed correctly (a server error is displayed) and No License Available is displayed. To import the license, restart the DeviceService. You then have about 5 minutes to import a new license.
